Quality Documentation Specialist

The Quality Documentation Specialist is a full-time, non-exempt position at Phylos. You will be working directly with Quality Management in writing, maintaining, and controlling documents. This position will be responsible for communicating with outside departments, receiving document requests, creating, formatting, editing, organizing, and monitoring documents throughout their lifecycle. Additionally, this position is responsible for ensuring that all required policies, procedures, work instructions are accessible as needed.

Successful candidates will have excellent verbal and written communication skills, strong attention to detail with the ability to multitask.

Responsibilities:

  • Coordinate the review and revision of controlled documents with Quality Management.
  • Assist in establishing and administering a system/procedures for managing controlled documents throughout the document lifecycle.
  • Learn and apply Good Documentation Practice requirements in the performance of job duties.
  • Ensure consistency in format and presentation of content for all documents.
  • Ability to organize and maintain files for all master documents and relevant document history.
  • Help to ensure adequate document change control practices.
  • Ability to generate documentation from high level to low level with extreme detail after observing process(es).
  • Suggest solutions for document issues & develop feedback mechanisms into work practice.
  • Communicate timelines & progress with stakeholders.
  • Train staff on document control policies and procedures.
  • Time-management and prioritization.
  • Qualifications:

  • Ability to understand and follow protocols, policies, and procedures with exactness.
  • 2+ years professional experience in Quality documentation.
  • Bachelor's degree or higher in Agriculture, Horticulture, Botany, Biology and/or other related field preferred.
  • Minimum of 2 years experience in document control.
  • Familiarity with GMP, GAP, ISO 9001, ISO 17025, and USDA APHIS preferred.
  • Ability to sit and stand for prolonged periods.
  • Must be willing to travel approximately 15-20%. Must have a valid drivers license, regular access to a reliable vehicle, and state-mandated insurance.
  • Strong analytical and mathematical skills.
  • Excellent verbal and written communication skills.
  • Detail-oriented and strong multitasking ability.
  • Advanced computer proficiency in Google Suite, Excel, Word, and Adobe PDF required.
  • Legally permitted to work in the United States.
