Executive Assistant

Reliable and task-oriented Executive Assistant. The Executive Assistant will work directly with A-level executives and will be responsible for performing a number of administrative duties. Highly self-motivated, professional, and capable of managing work load and prioritizing tasks in a fast-paced environment.

CORE JOB DUTIES

  • Prepare and edit correspondence, communications, presentations and other documents
  • Design and maintain databases
  • File and retrieve documents and reference materials
  • Manage and maintain executives' schedules, appointments and travel arrangements
  • Arrange and co-ordinate meetings and events
  • Record, transcribe and distribute minutes of meetings
  • Monitor, screen, respond to and distribute incoming communications
  • Answer and manage incoming calls
  • Receive and interact with incoming visitors
  • Liaise with internal staff at all levels
  • Interact with external clients
  • Co-ordinate project-based work
  • Review operating practices and implement improvements where necessary
  • Supervise, coach and train lower level staff
  • Uphold a strict level of confidentiality
  • Handle expense reports
  • General errands
  • JOB SKILLS

  • Minimum of 4+ years of experience as an Executive Assistant reporting directly to senior management
  • Advanced Microsoft Office skills, with an ability to become familiar with firm-specific programs and software
  • Proficiency in collaboration and delegation of duties
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
  • Exceptional interpersonal skills
