Bookkeeper / Administrative Assistant

The Bookkeeper/Administrative Assistant is responsible for managing the bookkeeping and general office administrative duties. Primary responsibilities include AR, AP, and executive support for our rapidly growing company. Requires strong accounting background and strict attention to detail.

Essential Duties:

  • Verifies and posts details of business transactions, such as funds received and disbursed, and totals accounts to ledgers or computer spreadsheets and databases
  • QuickBooks Online proficiency
  • Overall processing of expenses and providing financial reports
  • Prepares vouchers, invoices, check requests, account statements, reports, and other records, and reviews for accuracy
  • Issues, receives and processes purchase orders. Audits invoices against purchase orders, researches and corrects discrepancies
  • Reconciles general ledger accounts with various registers
  • Prepares and posts bank deposits and credit card payments daily and reconciles bank statements
  • Researches, enters and pays all accounts payable invoices. Insures accuracy of all AP invoices and that payments are up to date
  • Processes credit applications
  • Maintains, updates and keeps current all customer and vendor information in QuickBooks Online
  • Makes collection calls as needed
  • Ability to organize and prioritize effectively
  • Maintains meticulous filing system
  • Qualifications:

  • Requires college degree (Business) or equivalent experience
  • Demonstrates ability to easily grasp the concepts and functionality of software and programs
  • Self-motivated with strong organizational skills, ability to prioritize work, be detail oriented and meet deadlines
  • Demonstrates excellent analytical and problem-solving skills
  • Excellent verbal and written communication skills with the ability to work well with people within the organization, customers and the business community
  • Possess the highest regard for confidentiality and professionalism
  • Strong work ethic
  • Superior typing and grammar skills
  • Positive and upbeat attitude a must
